CHALLENGE

Manual formatting, rigid templates, and no way to automate the final upload created implementation bottlenecks

As Head of Implementation, Kevin managed a process that worked but was highly manual and increasingly difficult to scale. Every customer implementation required at least two data uploads: an initial review upload and a time-critical final upload right before go-live. Each upload demanded 4-8 hours of manual formatting in Excel—collecting data, running reports, and fitting everything into templates that had zero flexibility.

The team used tools for basic file cleanup and PDF indexing, but all mapping, logic, and formatting fell to individual implementation managers. The final upload was the real problem. Even after completing a clean practice run, there was no way to automate the final upload. Implementation managers had to reformat everything from scratch under tight deadlines.

Kevin had evaluated nearly ten different ETL tools over several years. Most were essentially glorified Excel. They could map columns but couldn't handle the business logic transformation required before data was even ready to map. Rubie was different.

Across implementations, work that previously required 8-12 hours now takes half that time or less. But the efficiency gains extend beyond raw time savings. The team now feeds customer files into Rubie before the first call, generating specific questions about data quality issues. This allows them to provide actionable feedback within the first week, instead of discovering problems after multiple calls and sample uploads.

The impact on team development has been equally significant. Previously, it took an implementation manager 6 months to build the Excel skills needed to run a data migration independently. Rubie automates much of the validation work, dramatically reducing the handholding required and freeing the team from manual Excel tasks that weren't core to their role.
